AI Guidelines

As AI advances, we find new ways to make our daily life more efficient. Xeneta has observed how this has been affecting our hiring processes. Therefore, we have decided to introduce all candidates our view and guidelines on how to navigate the use of AI.

AI in Hiring

Technology and AI are rapidly evolving, supporting both our daily lives and work. Lately, we've seen an increase in job applications created or assisted by AI. We understand that job hunting can be a challenging task, and it's natural for candidates to turn to AI tools to streamline the process. However, AI should complement, not replace, your personal input and experience in the application.

With this in mind, Xeneta has established a policy regarding the use of AI in the application process.

See below what key aspects you should consider to properly approach the use of AI:

Authenticity

Showcase your genuine skills and creativity throughout the hiring process. AI tools can support tasks like grammar checks or keyword optimization, but all submissions (including take-home tasks) should be written by you and reflect your unique capabilities, experiences and conclusions. We want to know the authentic you.

Integrity

If you're struggling to articulate your achievements or skills, AI can assist in generating ideas, but ensure the final content reflects your actual experience. Be honest about your qualifications and never use AI to fabricate experiences or skills.

Preparation

Our interviews and assessments are designed to evaluate your interpersonal and collaborative skills, as well as your approach to role-specific challenges. You can use AI to practice interview responses, refine body language, and manage timing. During interviews, respond naturally with your own experiences and thoughts - don't recite AI-generated answers. We want to learn about the real you.

Research

AI can help you research about Xeneta. However, we ecourage you to explore our website and career site for accurate information.

Readiness

Some companies use AI tools during their hiring process such as video interview, game-based evaluations, CV screening tools or chatbots. AI can prepare you for these kind of hiring processes so that you build confidence and feel ready. You will find in the following sections how Xeneta implements AI.

Ethical Considerations

AI is a powerful tool, but it must be used ethically and responsibly. Misusing AI during the application process can damage your credibility and harm your job prospects.

Be Transparent

We are interested in knowing how you use AI. If an interviewer asks how you prepared, please stay genuine with your answers, it's okay to mention that you used AI tools for grammar checks or to practice interview skills.

Take personal responsibility for your work

AI tools are there to assist you, but you should ensure that your application materials and interview performance reflect your own abilities and experiences.

Avoid reliance on AI for skills assessments or tests

If you're asked to complete a skill assessment during the hiring process, be ethical. Do not use AI to solve the tasks for you if it’s meant to assess your actual knowledge and problem-solving abilities.

How Xeneta Uses AI

At the moment, Xeneta implements a limited use of AI tools in the hiring process. As tech and AI advances we will continuously explore the possibility of their use to enhance our processes, however, human touch will always remain the most essential part of it. You can find below how Xeneta’s hiring teams implement AI mainly for content creation purposes:

Job Descriptions

We use AI tools as a baseline to support writing understandable, concise and all gender inclusive job descriptions.

Messaging

We use AI to craft compelling, well-structured messaging for candidates, including application confirmations, interview invitations, and rejection notices. While we aim to provide feedback to all applicants, the high volume of applications can make this challenging. However, candidates seeking insights on their rejection are encouraged to contact the Talent Acquisition Team directly for more details.

Interview Questions

The TA team may use AI as a starting point to elaborate complete and competency based interview questions.

Final Thoughts

All in all, AI tools are powerful and can help you optimise your application and soft skills during the interview process, but remember, never use it to replace your personal input. Focus on authenticity and self-presentations. Please, use AI ethically and responsibly.

At Xeneta, we understand the strengths and limitations of AI in recruitment. Our Talent Acquisition team is thoughtful in how we apply AI to the hiring process. While it helps improve efficiency, we believe that human judgment remains essential. AI can't make hiring decisions on its own—especially given risks like bias—so we use it as a tool to support, not replace, the human element. At Xeneta, AI plays a role in making our work faster and more effective, but people are always at the heart of our decision-making.

Xeneta reserves the right to reject candidates when unethical use of AI is seen during the hiring process, specially during interviews.
